Challenges of the customer

Before the project began, events and surveys were managed using different tools, which led to inconsistent data, high administration costs and limited evaluation. Microsoft Forms did not offer the necessary flexibility for complex target groups, multilingual questions and the ability to edit responses. In addition, data transfers had to be carried out manually or with a time delay, which meant that evaluations were available late. The company was looking for a solution that would centralize and automate event management, surveys and data analysis and make it much easier for everyone involved. The goal was a platform that would seamlessly map different event types, guest management, flexible question logic and immediately available data.

Our approach

In order to sustainably standardize event management and survey processes, an end-to-end platform was developed that seamlessly connects events, participant logic, surveys and data analysis. The solution automates previously manual steps, enables multilingual surveys, supports flexible response logic and provides all data in real time. The result is a system that is ideal for both recurring events and complex scenarios.

Development of a web platform with API connection

An independent platform was created that centrally manages events, target groups, guests and surveys. The front end communicates via defined API endpoints with the back end, which controls all operations - from creating new events to updating individual responses. LimeSurvey was integrated via the API and enables automatic creation, duplication and control of surveys.

Flexible and multilingual survey logic

Multilingual templates with dynamic question logic were implemented on the basis of LimeSurvey. Depending on the answer, additional fields can appear, guests can be added and admins have the option of correcting or editing answers directly. The integration uses the official survey metadata such as question codes and group structures.

Development of a configuration-based EAV data model

In order to be able to map any surveys and new requirements, an Entity- Attribute-value model developed. Each response is recorded and consolidated in a structured manner. A configuration layer determines which fields appear in evaluations, which are aggregated numerically and how new surveys are integrated into the existing model.

Live synchronization and automatic data provisioning

Answers are transferred immediately and are available directly in the SQL database. Via replication to Microsoft Fabric, evaluations can be created in Excel or Power BI without waiting times. Manual exports, data flows or schedules are no longer necessary.

User-friendly interface for users & admins

The front end offers a clear event overview, registration processes, guest invitations via magic link and ICS downloads. Admins have access to additional functions such as company patterns for external participants, reply processing and the quick duplication of new event types. The user guidance reduces queries and significantly simplifies organization.
