In day-to-day property management, numerous recurring processes had to be handled and tracked manually. Many workflows relied on individual lists, manual reminders, and coordination among various stakeholders.
In addition, differing object structures and process variations created additional administrative burdens and made it difficult to standardize workflows.
The goal of the project was therefore to gradually digitize recurring processes and create a stable foundation for future automation.
At the beginning, jovoco In collaboration with the departments, we reviewed existing administrative and process workflows. The focus was particularly on recurring manual tasks, coordination loops, and opportunities for automation. Based on this, prioritized workflows were developed and implemented in stages.
In collaboration with the relevant departments, existing processes, object structures, and recurring tasks were analyzed. In particular, manual tasks and frequent coordination efforts were identified as suitable candidates for automation.
In addition, a technical assessment was conducted of the existing systems and data structures related to DOMUS, Microsoft 365, and existing workflow processes. This assessment examined the technical framework and potential interfaces.
In the next step, the identified processes were jointly prioritized and broken down into actionable work packages. The goal was to first implement improvements that could be realized quickly and would provide direct benefits for day-to-day operations.
Building on this, several automated processes were implemented, including reminder and notification processes, form-based workflows, and automated email triggers and validation processes for property lists.
Additionally, jovoco in structuring existing data flows and preparing for future reporting and automation requirements. This created a solid foundation for further digital processes.
